Purpose of the role

To provide both clerical and administrative support to ensure the effective running of the business and to support the advisers. Train and understand financial services systems and controls and working practices.

Knowledge

  • Knowledge of the FCA’s and the firm’s record keeping requirements.
  • Basic knowledge of the financial services sector.
  • Proficient knowledge of the following software packages: Intelliflo, FE Analytics, Microsoft Office, Watermark/ Volume and the world wide web.

Responsibilities

General

  • Comply at all times with the firm’s Compliance; Training & Competence; Complaints and Data Security policies / procedures.
  • To ensure that the firm’s clients are treated fairly at all times.
  • To work as part of a team alongside the firm’s advisers and other Administration staff to provide clients with a professional ongoing financial planning experience.
  • Attend training when required and to develop relevant knowledge and skills
  • Undertake study towards the Financial planning certificate and level 4 Diploma qualification

Specific tasks – General

  • Assist team as and when required with day to day activities
  • Assist the Portfolio administration manager as required with day to day tasks
  • Utilise provider websites to obtain client valuations
  • Assist para planner with product research and fund analysis as required
  • Scan client files and documents onto watermark/ volume client management system
  • Answer telephone as required in professional manner
  • Prepare letters from dictation or written notes
  • Attend quarterly TCF meetings
  • Attend Bi- weekly team meetings
  • Open, stamp and distribute incoming post if required
  • Utilise franking machine for outgoing post
  • Produce online illustrations via various platform websites
  • Assist Office manager with preparation of quarterly newsletters
  • Copying and scanning as required
  • Assist all office personnel as required
  • Undertake CII study for financial services qualifications
  • Utilise Intelliflo back office system for client data input
  • Maintain stationary supplies and order as necessary
  • Collate letters for agency transfers and post/email to providers
  • Assist para planner with ‘Reduction in yield’ calculation documents
  • Assist with drawdown reviews undertaking annuity comparisons
  • Complete fund research on FE analytics to assist paraplanner
  • Undertake client file document checking lists for files

Candidate Requirements:

Good written and oral communication skills.
Good report writing skills.
Good methodical and organisational skills.

Educational Requirements:

Maths & English at GCSE Grade 4 or Higher
Basic IT and data entry skills
Ability to use Microsoft Office (Word, Excel, Outlook) confidently

Future Prospects

This position is initially available on a full-time, fixed-term contract. Upon successful completion of the Apprenticeship, there is the possibility of an ongoing position, which will be discussed at the appropriate time.
