The Hereford Academy - Finance Apprentice
A brief overview of the role:
You will support the Senior Finance Officer in operating the day to day financial operations of the Academy. Including processing orders and invoices, running financial reports, placing orders, dealing with financial queries, carrying out financial reconciliations, liaising with lettings customers and support for the general administration team.
Vacancy Description:
- To administer and process orders and invoices
- To raise invoices
- To undertake the administration of school lettings under the supervision of the Senior Finance Officer
- To maintain supplies of school stationery and other school resources within an agreed budget. To initiate and process orders within defined perimeters.
- To support department heads and other budget holders in placing orders and achieving value for money
- To assist the Head of Finance & Operations in monitoring the school budget.
- To pass forward invoices for signature/payment in accordance with established procedures
- To investigate anomalies/overspends and underspends and advise budget holders of balances, and corrective action that they might take.
- To reconcile PS Financials
- To correspond with suppliers regarding enquiries, invoices, etc.
- To maintain accounts for outgoing mail
- To support the provision of on-line payments from parents & carers, setting up accounts, resetting passwords and providing telephone support as required
- To liaise with lettings customers and to communicate information to duty caretakers
- To maintain and operate the on-line lettings booking system
- To provide income and expenditure accounts
- To support the Catering Manager in placing orders
- To provide support to the wider administration team and to support the effective operation of the school.

Things to consider
The school working environment is often fast-paced, whilst this is an office-based role but there will be a requirement to move around the school and potential to be asked to help other support staff. There will be a need to talk to a wide range of school staff, as well as students and their parents/carers.
