Role Overview
As a Business Administration Apprentice, you will play a crucial role in supporting various administrative functions across all departments within the practice. Your responsibilities will include processing patient information, managing the movement of patient records, handling referrals and prescriptions, booking appointments, and assisting with HR, operational, contractual, and financial tasks. Due to the sensitive nature of the information you will handle, maintaining data security and confidentiality is paramount to this role.
Key Responsibilities
In this apprenticeship, you will gain exposure to a wide range of administrative duties, essential to the smooth operation of the practice. Below are some of the core responsibilities:
Patient Administration:
- Patient Registrations and Deductions: Register new patients, request their records from previous practices, and ensure patient notes are transferred securely when they leave.
- Prescription Management: Process repeat prescriptions on a daily basis, ensuring patients receive the right medication on time.
- Referrals Processing: Handle referrals to secondary care for investigations or therapies, ensuring they are completed within the appropriate timeframes.
Private Administration Services:
- Assist with private administrative tasks, including insurance reports, firearms licensing, and foster medicals. This includes managing payments and ensuring accurate records are maintained.
Long-Term Patient Care:
- Send invitations for long-term condition reviews and upcoming vaccinations. These invitations are distributed via text or letter, ensuring patients are informed about their care requirements.
HR and Governance:
- Support HR processes such as onboarding new staff, processing leavers, managing contract changes, and assisting with recruitment campaigns.
Business Administration Tasks
As part of your apprenticeship, you will also be exposed to general business administration tasks, essential to the practice’s operations:
- Standard Operating Procedures (SOPs): Assist in maintaining and updating SOPs to ensure the practice operates efficiently.
- Contract Management: Handle various business contracts related to equipment, building maintenance, and other operational aspects.
- Financial Administration: Support the management of salaries, invoicing, and budgeting processes.
Additional Responsibilities
In addition to the main tasks outlined above, you will also be responsible for:
- Maintaining a tidy workspace and ensuring all administrative tools and materials are organised and functional.
- Undertaking all mandatory training and attending formal induction programs.
- Participating in annual performance appraisals and interim reviews to monitor your progress and identify areas for professional development.
- Assisting with public health campaigns, such as flu clinics, to support the wider goals of the practice.
- Participating in practice audits to help improve operational efficiency and ensure compliance with healthcare standards.
- Managing incoming emails, tasks, and text messages, ensuring timely and appropriate responses.
