Tour Coordinator Apprentice
Brief overview of the role
Norman Allen Group Travel is a specialist tour operator and wholesaler, providing group tours to Tour Operators and Private Group Organisers in the UK and around the world. Founded in 1972, our reputation is for high quality tours and award winning service.
We currently have a vacancy for an apprentice Tour Coordinator to work in our Wholesale European & Inbound Tours Department. Subject to business needs the apprenticeship may include an opportunity to work in other departments within the company and, at the end of the apprenticeship, there is potential for this to become a permanent role.
Vacancy description
Tour Coordinators are required to help generate profit in the tour departments. They are involved with all parts of the tour sale and operations process. The role involves regular liaison with clients and suppliers by telephone and email.
Below is a summary of some regular tasks/duties (this is not an exhaustive list and the tasks/duties are not listed in a particular order):
- Taking enquiries from clients
- Producing tour costs and quotations
- Following-up quotations to secure firm bookings
- Producing confirmation documents
- Making hotel, ferry and visitor attraction reservations
- Negotiating prices with suppliers, as and when necessary
- Chasing clients and suppliers for signed contracts
- Liaising between clients and suppliers
- Dealing with latest cancellation deadlines & cancelling tours when necessary
- Dealing with rooming amendments
- Obtaining and forwarding menu choices
- Obtaining final numbers
- Preparing invoices, credit notes and refunds
- Chasing clients for payment when necessary
- Issuing rooming lists, accommodation vouchers and final travel documentation
- Checking supplier invoices and making payments
- Checking tour profit
- Researching and compiling tour itineraries
- Answering the telephone
- Assisting with special projects
- Providing administrative support to the department manager
- Any other duties that may be agreed from time to time
Person Specification
We look for bright, intelligent, outgoing and motivated individuals who are prepared to roll up their sleeves and get things done. Below is a summary of the key skills and attributes:
- Sound education and/or some office/administrative experience
- Excellent standards of numeracy and written and spoken English
- First rate customer service skills
- Strong administrative and organisational skills
- Ability to prioritise work and pay close attention to detail
- Ability to look after tour files over a long period of time
- Foreign language skills are desirable though not essential
- A team player
- An interest in travel and culture
- Hospitality or travel industry experience is desirable though not essential
